Clinic Policy

Cancellation/No-Show Policy Agreement

 

At The Recovery Room, we understand that life happens and sometimes appointments need to be cancelled or rescheduled. However, we also understand that last-minute cancellations can be disruptive to our practice and other patients who are waiting to schedule an appointment. To ensure the smooth operation of our business and provide fair treatment to all patients, we have developed the following cancellation policy:

  • No-Show Policy: If you fail to show up for your scheduled appointment without prior notice or a valid reason, we will charge 100% of the appointment fee. Fees must be paid in full before booking any future appointments.

  • Late Cancellation Policy: If you need to cancel or reschedule your appointment within 24 hours of the scheduled appointment time, we will charge a fee of 50% if there is no valid excuse for the cancellation. Valid excuses include sudden illness, injury, or emergency situations. Fees must be paid in full before booking any future appointments.

 

Please note that we require a minimum of 24 hours' notice for all appointment cancellations or rescheduling requests. This allows us to accommodate other clients who may be waiting for an appointment slot.

 

Makeup:

  • Minimal to No Makeup: Patients are encouraged to wear minimal to no makeup to their massage therapy appointments. This helps to prevent the transfer of makeup onto linens.

 

Late Arrival Policy:

  • We encourage all patients to arrive on time for their appointments to ensure the full appointment time can be utilized.

  • If you arrive late for your appointment, the appointment will still end at the scheduled time and you will be charged the full appointment fee.

 

Health and Safety:

  • All patients are required to fill out an intake form before their first appointment to ensure we are aware of any pre-existing conditions or concerns.

  • We maintain a clean and sanitized clinic environment to ensure the health and safety of all patients and staff.

  • If you are experiencing any symptoms of illness, please reschedule your appointment and do not come into the clinic.

 

Payment:

  • Payment is due at the time of service.

  • We accept payment by credit card, debit card, e-transfer, or cash

  • If your appointment is being covered by insurance, we will bill your insurance company directly. 

  • You must be prepared to pay for any remaining cost of service that your insurance company does not cover.

  • Direct billing can't be guaranteed at every appointment. Factors that can affect direct billing availability include individual insurance plan attributes, problems with the submission portal, or clinic administration considerations. In the event of the following you must be prepared to cover 100% of the cost of service.
